↓ (01 — Who we are)

This website is operated by Definition Gym Tonbridge Ltd, trading as Definition Gyms, registered at Unit 9, The Stables, Goblands Farm Business Centre, Cemetery Lane, Hadlow, Kent TN11 0LT. We are registered with the Information Commissioner's Office, registration number CSN4089339. Our gym is at 16 Sovereign Way, Tonbridge TN9 1RS. ↓ (02 — What we collect and why)

Offer sign-up forms. If you choose to sign up for our offers and news, we collect your name, email address and (optionally) telephone number. We use these to send you the marketing you asked for. Lawful basis: your consent, which you can withdraw at any time via the unsubscribe link in any email or by contacting us.

Booking a tour. If you book a tour, our scheduling provider (HubSpot Meetings) collects your name, email address and appointment details so we can host your visit. Lawful basis: taking steps at your request before entering a contract.

Confirming your email after joining online. If you confirm your email after joining online, we use it to link your visit to your membership so we can see which adverts work. Lawful basis: legitimate interests.

Contacting us. If you phone or email us we process the details you provide to deal with your enquiry. Lawful basis: legitimate interests.

Memberships, payments and class bookings are handled by our membership system, ClubRight, under its own privacy policy.

↓ (03 — Who processes your data)

Marketing sign-ups are stored and processed on our behalf by HubSpot (our customer relationship management provider), acting as our data processor under UK GDPR. HubSpot may store data outside the UK under appropriate safeguards. We never sell your data.

Live chat. Our chat window is provided by LeadConnector (HighLevel, Inc., United States), who process the messages you send and the contact details you give us in that chat on our behalf. Messages are transferred to the United States under the UK International Data Transfer Addendum. Lawful basis: legitimate interests, in order to answer your enquiry.

↓ (04 — Advertising)

We share a scrambled (hashed) copy of members’ email addresses and phone numbers with Google and Meta (Facebook and Instagram). They act as our service providers. Nobody at Google or Meta can read the original details.

We do this for three reasons:

• To keep our adverts away from members. People who already belong to the gym shouldn’t keep seeing adverts asking them to join.
• To see which adverts work. When you join, we send a scrambled copy of your email and phone number and the date you joined. This tells us whether one of our adverts led to your joining.
• To show our adverts to the right people. Google and Meta use this to show our adverts to people more like those who join.

When you join online, our website may also send a scrambled copy of your email address to Google, for the same reasons.

The upload is encrypted. We never share your name, address, payment details or how you use the gym. We rely on legitimate interests for this. You can object at any time by emailing info@definitiongyms.co.uk. We will then stop including you in future uploads.

↓ (05 — How long we keep it)

Marketing contact details are kept until you unsubscribe, or for 12 months after your membership ends where there has been no engagement, whichever is sooner. Enquiry data (tour bookings, contact messages and membership enquiries from people who don't join) is kept for 24 months from last contact. Membership and account records are kept for the duration of your membership plus 6 years, in line with legal and accounting obligations.

↓ (06 — Your rights)

Under UK GDPR you can ask us for access to your data, correction, erasure, restriction of processing, portability, and you can object to processing or withdraw consent at any time. To exercise any right, contact info@definitiongyms.co.uk. We will respond within one month.

↓ (07 — Complaints)

If you're unhappy with how we handle your data, please tell us first and we'll try to put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.

↓ (08 — Cookies)

Strictly necessary storage is used without consent, because the site cannot work properly without it. It remembers that you have dismissed our offers pop-up and it remembers your cookie choices.

Only if you accept them, we also use:

• Google Ads cookies, to measure whether an advert led to a sign-up and to avoid showing you the same advert repeatedly.
• Google Analytics cookies, to understand how the site is used so we can improve it.
• HubSpot cookies (__hstc, hubspotutk, __hssc, __hssrc). Helps us see which pages and adverts lead to enquiries.
• LeadConnector chat cookies, set by the chat window in the corner of the page. They remember your conversation so you don’t lose it when you move between pages.

Nothing in that list loads until you choose. You can change or withdraw your choice at any time using the “Cookie settings” link in the footer.
