↓ (01 — Who we are)

This website is operated by Definition Gym Tonbridge Ltd, trading as Definition Gyms, registered at Unit 9, The Stables, Goblands Farm Business Centre, Cemetery Lane, Hadlow, Kent TN11 0LT. We are registered with the Information Commissioner's Office, registration number CSN4089339. Our gym is at 16 Sovereign Way, Tonbridge TN9 1RS. ↓ (02 — What we collect and why)

Offer sign-up forms. If you choose to sign up for our offers and news, we collect your name, email address and (optionally) telephone number. We use these to send you the marketing you asked for. Lawful basis: your consent, which you can withdraw at any time via the unsubscribe link in any email or by contacting us.

Booking a tour. If you book a tour, our scheduling provider (HubSpot Meetings) collects your name, email address and appointment details so we can host your visit. Lawful basis: taking steps at your request before entering a contract.

Contacting us. If you phone or email us we process the details you provide to deal with your enquiry. Lawful basis: legitimate interests.

Memberships, payments and class bookings are handled by our membership system, ClubRight, under its own privacy policy.

↓ (03 — Who processes your data)

Marketing sign-ups are stored and processed on our behalf by HubSpot (our customer relationship management provider), acting as our data processor under UK GDPR. HubSpot may store data outside the UK under appropriate safeguards. We never sell your data.

↓ (04 — How long we keep it)

Marketing contact details are kept until you unsubscribe, or for 12 months after your membership ends where there has been no engagement, whichever is sooner. Enquiry data (tour bookings, contact messages and membership enquiries from people who don't join) is kept for 24 months from last contact. Membership and account records are kept for the duration of your membership plus 6 years, in line with legal and accounting obligations.

↓ (05 — Your rights)

Under UK GDPR you can ask us for access to your data, correction, erasure, restriction of processing, portability, and you can object to processing or withdraw consent at any time. To exercise any right, contact info@definitiongyms.co.uk. We will respond within one month.

↓ (06 — Complaints)

If you're unhappy with how we handle your data, please tell us first and we'll try to put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint or 0303 123 1113.

↓ (07 — Cookies)

This site currently sets no advertising or analytics cookies. The only storage used is strictly necessary: remembering that you've dismissed our offers pop-up, and (if enabled) remembering your cookie choices. If we ever introduce analytics or marketing cookies, we will ask for your consent first via the cookie banner, and you can change your choice at any time using the "Cookie settings" link in the footer.
